To the Clerk's Office --

I've been fairly involved in attending committee sessions in the past, but have some questions about what's possible for visual aids when giving a deputation.

As context: As part of a small community group, I'm hoping to present some results from an outreach exercise at a future committee session on a relevant agenda item. Results will be coming in after 4:30pm submission deadline, likely right up until the hour of deputation, and so I'm trying to figure out how to accommodate that live data in the visuals.

Is it possible to show presentation slides on the projector screen as I speak? Would a Google Slide link be acceptable, and would that be displayed in its standard web format, not exported? (Specifically, I'm wondering if I can update an image on a slide.) Alternatively, is it possible to show a website on the projector screen? If so, would I be able to navigate that website myself while speaking? Are document cameras available for showing printed material on-screen? If so, could we instead lay a tablet computer under the document camera? Also, would this equipment vary by room? Will visual material presented on the projector screen in the room also be broadcast clearly on any livestream? If so, does the livestream change focus to the content, or just show it from afar? In what ways do any of the above hinge on making prior arrangements?

Hi Patrick,

What committees are you thinking of specifically? That will have some impact on some of your questions.

If the meeting is in committee rooms 1 or 2 at City Hall or one of the civic centres, you will need to bring your own laptop or device which can connect to a projector via HDMI, DisplayPort, Mini DisplayPort or USB Type–C, or a hard copy for the overhead projector. You will display and control your own presentation material from your device. For best presentation quality, please save and play all material on your device. I’m not sure how clearly a tablet would display on the overhead projector, connecting a device is probably easiest.

Back to my question about which committees, if the meeting is livestreamed on YouTube, then the material you share should take over the screen. If its not livestreamed, it will be a tile in a WebEx electronic meeting. Alternatively, if you participate in a meeting remotely, you can ask for permission to share your screen, and then this will take over the WebEx.

You don’t need to make prior arrangements. For assistance on meeting day, please approach the City Clerk's staff in the meeting room.
